Set up Microsoft Teams
Connect Teams call records, attendance reports and transcripts to BeeCastle.
BeeCastle can read your Teams call records, and optionally attendance reports and transcripts, so account managers see which calls really happened and who joined. Setup has three steps in Settings > Integrations > Microsoft Teams. Each step has a different person.
Who does what
| Person | What they do |
|---|---|
| BeeCastle owner or administrator | Opens the Teams settings page and works through the steps. Everyone else sees the page with every button switched off. |
| Microsoft 365 Global Administrator | Approves BeeCastle for the organisation (step 1). |
| Teams administrator | Turns on Microsoft Graph access to transcripts in the Teams admin centre (step 3, transcripts only). |
These can be the same person. If they are not, BeeCastle gives you a link to pass on.
Before you start, connect a Microsoft 365 mailbox from your profile. Without one, step 1 stays switched off.
Step 1: Approve BeeCastle for your organisation
A Microsoft 365 Global Administrator approves once for the whole organisation.
- Approve in Microsoft opens Microsoft's approval screen. Use it if you are the Global Administrator.
- Copy link for your IT admin copies a link you can send to them. They open it, see what is being approved and click Approve in Microsoft. They do not need a BeeCastle account. The link works for 7 days. Copy a new one if it expires.
BeeCastle reads Teams call records and directory names. Recordings are never requested.
When the administrator finishes, Microsoft sends them back and the step shows Approved. Sometimes Microsoft is still applying the approval. BeeCastle then tells you it will check again in a couple of minutes. You can also click Check again at the top of the page.
Step 2: Capture Teams calls
Click Turn on Teams call capture. BeeCastle reads the last 30 days of call records for every active team member with Microsoft 365 connected, then checks for new calls every 15 minutes. New connections are included automatically. Sync now runs a check straight away.
This step stays switched off until step 1 is approved.
Step 3: Attendance reports and transcripts
This step is optional. BeeCastle reads attendance reports and transcripts for meetings organised by members who connected Microsoft 365. It uses each organiser's own connection.
- Attendance reports: if you approved before 20 October 2026, click Approve again in step 1.
- Transcripts: a Teams administrator turns on Microsoft Graph access in the Teams admin centre. Go to Meetings > Meeting settings > Transcript API access, set Microsoft Graph access to On, then click Apply and Save. It is off by default for every organisation.
Then click Check access. BeeCastle tests against a recent Teams meeting organised by one of your connected members. When both attendance reports and transcripts work, BeeCastle switches Read attendance reports and transcripts on. You can turn the switch off at any time.
The status table
The table at the bottom of step 3 shows what BeeCastle can read right now.
| Row | What it is |
|---|---|
| Call records | Who called whom and for how long |
| Team members | Names of people in your directory |
| Attendance reports | Who joined each scheduled meeting |
| Transcripts | Meeting transcripts, read when a member adds a summary to a note |
| Status | Meaning |
|---|---|
| Working | BeeCastle can read it. |
| Denied | Microsoft refused. For attendance, the table also shows how many meetings were refused. |
| Approve again | Microsoft has not granted a permission BeeCastle needs, or no connected organiser has the new permissions yet. Do step 1 again. |
| Switched off for your organisation | Transcripts are off in the Teams admin centre. A Teams administrator turns on Microsoft Graph access (step 3). |
| Nothing to test with | There is no recent meeting organised by a connected member. Schedule one, then check again. |
| Not checked yet | Click Check again. |
| Could not check | Microsoft did not answer. Try again in a moment. |
"Last checked" under the table shows when BeeCastle last asked Microsoft.
What members see on a meeting card
When an attendance report is missing, the card says why in plain words.
- Attendance reports are not switched on for your organisation. Administrators get a Set up in Settings link. Everyone else is told to ask an admin.
- No attendance report for this call. Teams only keeps reports for scheduled meetings.
- Teams has no single attendance report for this meeting. Teams found none, or more than one.
- Teams returned an empty attendance report. The meeting had no recorded joiners.
- Teams could not find this meeting's attendance report.
- Attendance report unavailable. Anything else.
Troubleshooting
The administrator declined. The page shows that the approval was declined. Ask a Global Administrator to approve again.
Wrong organisation. The approval was for a different Microsoft 365 organisation. The administrator must sign in with an account from the organisation you want to connect.
Approve again: new permissions. BeeCastle has added permissions since your last approval. Microsoft only grants new permissions when an administrator approves again. The missing permissions are listed on the step. Click Approve again.
Access not granted. Microsoft refused access. Wait a few minutes, then click Check access.
Transcripts say switched off. Transcript access is off for your organisation. A Teams administrator opens the Teams admin centre, goes to Meetings > Meeting settings > Transcript API access, sets Microsoft Graph access to On, then clicks Apply and Save. Then click Check access.
Approve again after an update. When BeeCastle adds permissions, an administrator approves again in step 1 once. That covers every member. Members do not reconnect. Then click Check access.
The link has expired. Links last 7 days. Copy a new one.
Everything is approved but a row says Approve again. Approve again from step 1, then click Check again.
Still on the original BeeCastle app?
If you sign in at app.beecastle.com, Teams calling is set up the old way: a Global Administrator approves at this Microsoft link, then you enter your tenant ID in Settings and our support team finishes the setup. Microsoft shows an error page after approving; you can ignore it.
