How to guide for BeeCastle administrators and users on how to use Assigned Accounts

In this article, we will cover how to set up and use Assigned Accounts. Topics covered include:

Defining Your Assigned Accounts at Company Level

The BeeCastle Admin can set the default fields that users can use to define and map their own accounts which will be used as the filter for their "Assigned Accounts."

Click Path > First go to > Settings (in the bottom left corner)

Then, go into the "Company and User Mapping" page:

Click Path > Account Administration > Company and User Mapping

You can select the fields which will be available for your users to create their own Assigned Accounts filter. Please note: these fields map from your ConnectWise instance.

Defining user level settings for users

Now that the fields have been selected for all users, let's walk through how a user will set up their own personal Assigned Accounts filter.

Click Path > Settings > Personal Settings > Setup Assigned Accounts Filter

The user can select the values for each of the fields available. Please note: these values map from the Company and Company Team roles in ConnectWise. The user should mirror the fields and values from ConnectWise in BeeCastle, so their accounts are assigned in BeeCastle the same was as in ConnectWise.


USING ASSIGNED ACCOUNTS

Now that the setup is complete, let's look at how to utilise the new feature on these pages.

Whitespace

The following applies to all Whitespace pages:

  • Product Additions

  • Agreement Types

  • Agreement and Addition Mapping

The screenshot below shows that when the Assigned Accounts toggle button in the top left corner = "All Accounts" the table below will show All Accounts. To switch over to just see your "Assigned Accounts", click on the "Assigned Accounts" button on the toggle. "Assigned Accounts" will then be highlighted in light orange and the data will be updated.

Click Path > Whitespace Matrix > any of the subpages > All Accounts / Assigned Accounts button

Prospecting

Please Note: Assigned Accounts is available only the Product Penetration Overview page. It will be available on Find Opportunities in a later release.

The screenshot below shows that when the Assigned Accounts toggle button in the top left corner = "All Accounts" the table below will show All Accounts. To switch over to just see your "Assigned Accounts", click on the "Assigned Accounts" button on the toggle, "Assigned Accounts" will then be highlighted in light orange and the charts will be updated.

Click Path > Prospecting > Product Penetration Overview > All Accounts / Assigned Accounts button

Analyse Agreement Revenue

Assigned Accounts is available on all Analyse Agreement Revenue sub-pages:

  • Total Revenue Trend

  • Revenue Changes

  • Product Growth

  • Customer Growth

The screenshot below shows that when the Assigned Accounts toggle button in the top left corner = "All Accounts" the table below will show All Accounts. To switch over to just see your "Assigned Accounts", click on the "Assigned Accounts" button on the toggle, "Assigned Accounts" will then be highlighted in light orange and the charts and data tables will be updated.

Click Path > Analyse Agreement Revenue > any of the subpages > All Accounts / Assigned Accounts button

Customer Tiering

The screenshot below shows that when the Assigned Accounts toggle button in the top left corner = "All Accounts" the table below will show All Accounts. To switch over to just see your "Assigned Accounts", click on the "Assigned Accounts" button on the toggle, "Assigned Accounts" will then be highlighted in light orange and the charts and data tables will be updated.

Click Path > Customer Tiering > Review Customer Tiering > All Accounts / Assigned Accounts button
